The short answer

Use fixed rules when the steps and expected result are predictable. Consider AI for a bounded step involving interpretation or drafting. A useful workflow can combine both, with people approving consequential outputs.

When ordinary automation is a good fit

Moving a submitted form into the correct system, calculating a total or sending a reminder after a defined event often needs predictable rules. The expected behaviour should be explainable before the workflow runs.

Start by checking whether an existing feature already performs that step. Adding a model to a deterministic calculation can make the process harder to check without helping the business.

When an AI step may be useful

A loosely written enquiry may need interpreting before it can be routed. A report may need an initial explanation of changes after its figures have been calculated. Those are possible bounded AI tasks.

Keep the source material available, define the expected output and decide how a person checks it. Being fluent is different from being correct.

Transfer completed form fieldsValidate the fields and use a supported connection.
Calculate weekly reporting totalsUse defined calculations and check the underlying data.
Interpret a free-text enquiryTest a bounded classification step, with an exception route.
Draft a customer responseUse approved information and ask a person to approve the draft.
Change a customer accountApply explicit permissions, validation and an approval rule.

An illustrative enquiry workflow

A form can validate required fields, an AI step can suggest a category and a person can approve the response. Only then does a supported connection record the agreed update.

This is an illustrative design, not a measured client outcome. The right version depends on your process, systems and information.
